Chapter 6: Collecting Credible Supporting Evidence

A strong scientific award nomination should be supported by credible evidence. The nomination explains the achievement, while the supporting materials help judges verify important claims about the scientist’s role, the work performed, and the results achieved.

Scientists from all over the world may explore relevant Globee Awards opportunities. However, the Globee Awards are business awards, and providing a large collection of scientific or professional materials does not automatically establish eligibility. Evidence should directly support an achievement that meets the requirements of a current program and category.

Create an Evidence File Throughout the Year

Scientists should not wait until an award deadline to begin collecting supporting materials. Important documents can become difficult to locate, public links may change, and colleagues who can verify an achievement may move to other positions.

An evidence file provides one organized place for preserving relevant information. It may be a secure digital folder managed by the scientist, team, or authorized organization. Materials can be grouped by project, date, result, or type of evidence.

Depending on the achievement, the file might contain:

  • Approved internal or public documents
  • Links to official websites and credible public sources
  • Scientific, technical, operational, or organizational reports
  • Peer-reviewed publications or other clearly identified research materials
  • Granted patents or published patent records
  • Product descriptions, specifications, or approved fact sheets
  • Performance, validation, or implementation data
  • Testimonials from authorized colleagues, customers, partners, or beneficiaries
  • Photographs showing the product, process, team, project, or application
  • Presentations, posters, conference materials, or approved videos
  • News coverage or independent evaluations
  • Records of adoption, implementation, training, or people served

Every item should have an identifiable purpose. Scientists may also record the date, source, owner, approval status, and specific claim that each item supports.

Connect Evidence to Important Claims

Supporting materials should substantiate the nomination rather than merely add volume. Judges should not have to search through dozens of unrelated documents to discover whether a claim is credible.

For example, if a nomination states that a new laboratory process reduced average testing time from ten hours to four hours, the supporting evidence might include an approved performance report showing the earlier and later processing times. If the nomination describes a granted patent, the evidence might include a link to the official patent record. If a technology was implemented in several facilities, appropriate implementation records or approved customer information may support that statement.

Scientists can create a simple claim-and-evidence list:

  1. Write down each important claim made in the nomination.
  2. Identify the document, link, dataset, image, or record supporting it.
  3. Confirm that the evidence actually proves the claim.
  4. Remove materials that are repetitive, unrelated, or misleading.
  5. Verify that the information may lawfully be submitted.

A scientific publication may establish that research was published, but it does not automatically prove market adoption, operational success, environmental benefit, or societal impact. A patent record may verify that a patent was granted, but it does not by itself demonstrate commercial success or scientific superiority. Each type of evidence should be used only for the claim it can reasonably support.

Evaluate the Quality of Evidence

Credible evidence should be relevant, accurate, current, understandable, and attributable to a reliable source. Strong supporting materials ordinarily identify what was measured, how the information was collected, when the result occurred, and who verified it.

Scientists should avoid using screenshots without context, unexplained spreadsheets, broken links, promotional statements presented as independent findings, or figures that cannot be connected to an identifiable source. A testimonial stating that a scientist’s work was “excellent” offers less useful evidence than a detailed statement explaining the individual’s role and the documented improvement produced.

Independent evidence can be valuable, but internal organizational data may also be appropriate when it is accurate, authorized, and clearly explained. The goal is not to make every nomination look academic. The goal is to support the particular business, technological, organizational, environmental, medical, operational, community, or societal achievement being presented.

Protect Confidential and Restricted Information

Scientists frequently work with confidential research, proprietary technology, patient information, personal data, trade secrets, unpublished findings, security-sensitive information, and intellectual property belonging to an employer or institution.

Evidence must be lawful to share and consistent with all applicable:

  • Confidentiality and privacy obligations
  • Intellectual-property rights
  • Employment policies
  • Contracts and nondisclosure agreements
  • University or institutional requirements
  • Research ethics and informed-consent requirements
  • Patient and healthcare privacy protections
  • Regulatory and government restrictions
  • Partner, customer, or funder agreements

Receiving access to information through one’s job does not necessarily provide permission to submit it to an awards program. Scientists should obtain required approvals from appropriate employers, institutions, legal departments, privacy officers, research offices, partners, or other authorized parties before including restricted information.

Personal information should be removed or anonymized when required. Scientists should not submit confidential patient records, protected research data, internal security details, unpublished intellectual property, or proprietary customer information without proper authorization.

If important evidence cannot lawfully be shared, the scientist should not disclose it. An approved summary, redacted document, public source, or authorized statement may sometimes provide a suitable alternative, but it must remain truthful and sufficiently informative.

Review the Evidence Before Submission

Before submitting a nomination, scientists should verify that links work, files open correctly, dates are accurate, and all contributors are properly credited. Documents should be clearly named and arranged so judges can understand their relevance.

The final review should also confirm that the evidence matches the nomination. Contradictory dates, inconsistent figures, overstated conclusions, or unsupported claims can weaken credibility.

Providing credible supporting evidence does not guarantee that an entry is eligible, receives a particular score, or earns recognition. Eligibility depends on the current program and category requirements, and recognition depends on the applicable evaluation process. Evidence helps judges assess an achievement; it does not predetermine the outcome.
